Meeting Minutes: September 18th, 2013
Call to Order:
President, Anna Buetow, calls the meeting to order at 1:29pm.

Fundraising Report
Fundraising Coordinator, Ashlee Sanders, asked President, Anna Buetow, to give the fundraising report in her absence.
Hunting & Fishing Days (September 28th from 9:00am-5:00pm and 29th from 9:00am-4:00pm) –
Hunting and Fishing Days is fast approaching and now that we have a booth reserved it is time to get things finalized. After some discussion we decided to have three different activities ready. The first activity is camouflage face painting for kids. President, Anna Buetow, volunteers to get the face paint that we will need. Our second activity is leaf and bark rubbing. Secretary, Brandi Husch, Vice President of Membership, Ethan Edwards, and Will Safran volunteer to bring leaves, bark, and crayons for this activity. The last activity is a memory game that President, Anna Buetow, and Vice President of Fellowship, Kristi Fleming are working together on. We will be having a 50/50 raffle and will also be raffling off donated items. We will need help to set-up on Friday the 27thfrom 12:00pm-4:00pm. We are also taking volunteers to work at our booth during the event both Saturday and Sunday. If you want to sign up to help please contact Ashlee at[email protected].
Mix It Up Day--
Mix It Up Day’s date will be on October 23, from 10am until 2/3pm. Mix it Up Day's Mission/Goal: “To break down social barriers between students, teachers, clubs, and faculty, which could hinder their chances to make new communication lines with people, through activities such as ice breakers and music.”
In order to get as many clubs involved with this event members volunteer to contact different clubs on campus to. President, Anna Buetow, will be emailing the list of clubs and all the information to the members who volunteered. After brainstorming different ideas for activities we came to the conclusion that to best way to avoid this becoming a club advertisement event and sticking to the task of “mixing it up” is to have a list of ice breaker activities for participating clubs to choose from. Vice President of Public Relations, Europe Doan, and Vice President of Fellowship, Kristi Fleming, volunteer to meet and make said list. If have any ideas for an activity that we could do for this event please feel free to contact Europe at [email protected] or Kristi at[email protected]. Advisor, Adrienne Giffin, brought to our attention that we may want to set up a rain date or have a room reserved in case we get rained out. Members are encouraged to think about different options to discuss as next week’s meeting.Fundraising Coordinator, Ashlee Sanders, is working on getting our Pie-A-Kappan fundraising event approved so we can start finding faculty to sponsor us. This will also be discussed next week in greater detail.
Committee Report:
Crollege Project report--
Vice President of Public Relations, Europe Doan, made a form for tutors to fill out that will help us determine if we helped increase the number of students that receive free tutoring. Secretary, Brandi Husch, reports that Teri Campbell approved the form and they will start using it this coming Monday the 23rd. Brandi also states she received all the current tutor’s emails and will be sending out an email this weekend to inform them what the form is and why we are asking all the tutors to fill it out.
Scrapbooking Report--
President, Anna Buetow requests pictures to print out from the Scrapbooking Committee Head, Europe Doan. Anna also asks fellow members to keep a look out for any kind of clock stickers, stamps, and magazine pictures that will go with our scrapbook theme of “Time”. *We will be scrapbooking next week Wednesday, September 25th at 12:30 in room E121.*
New Business:
Honors in Action (HIA) Update/Info:
Theme 6: “Food Fight!: Competition and Food” Question #9: “How do guidelines, such as the USDA’s Food Pyramid and school lunch programs compete with or match parental/community food standards and/or realities?”
Vice President of Public Relations, Europe Doan, shared her idea last meeting on how to get some feedback from parents in our community on their views and experiences with lunches served at schools. She felt like setting up some kind of survey for our booth at Hunting and Fishing Days would be an ideal opportunity. All attending members agreed with this idea and brainstormed for this survey. President, Anna Buetow makes note that we don't just want what a parent thinks about the school lunch standard. We also want to know what their personal standards for food are, so that we can compare it to the governmental and institutional standards.
A survey, which was created thanks to Vice President of Public Relations, Europe Doan, and Vice President of Membership, Ethan Edwards, was used at “Welcome Picnic” on campus in the court yard. The picnic was for all students and faculty at John A. Logan and the Administration served hotdogs and chips for lunch earlier today from 11:30am-1:00pm. Advisor, Adrienne Giffin, said that they did a fantastic job and reported the Welcome Picnic went really well. The survey outcome will be given next week. Europe and Ethan will also be making a new survey for Hunting and Fishing Days. Present members discuss what should be on the survey for this event. All members came to the mutual conclusion that we need to word the survey so we are asking about the nutrition of school lunches and not the taste of school lunches to keep the feedback relevant to our HIA question. Secretary, Brandi Husch, wants members to keep in mind that when we write-up this project we will need at least eight resources and the more resources we have to choose from the better off we will be. Advisor, Adrienne Giffin reminds members of all the resources we have available to us right on campus through the nursing faculty and nutrition teachers. President, Anna Buetow, agrees that we need to take advantage of the resources readily available to us.
President, Anna Buetow, reminds members that anyone is able to do research at any time. Keep the Theme and Question in mind because you never know what will come up in your daily life that relates to it!
Anything else:
ALSO: The upcoming Illinois Honors Institute / Leadership Conference. The conference will be Friday, October 11ththrough Sunday, October 13th. A head count is given at the meeting and those expressing interest will be going, if they agree to helping fundraise and aid with some of the costs.
Rough idea of the cost** of the trip:
One room = $115 a night. We need at least two rooms for 2 nights each so the estimated room cost will be: $460. We will need a rental car to get there.. I do not know the exact number on that, but we can assume from the past that it will be about: $200. Gas will probably be about: $100 minimum. Adding up to be about a $800 dollar trip for an advisor plus 3-4 people. This does not include the individual registration fee of $75/90. Members will pay their individual fee for the conference plus whatever is not covered by fundraising. If we do not gain anything from fundraising, then the cost will be about $200 dollars a person plus the $75/90 individual fee. Let's hope we fundraise well at Hunting and Fishing day!!
**Please note: Conferences/events are paid for by both the chapter and the members who are attending. Unfortunately, money can be tight, so the chapter cannot provide a free ride for anyone. Those who help with fundraising will get some of their fee reduced from the amount of money fundraised, so participate in fundraising and increase your chance of getting to join us on these exciting adventures!
Also, we have currently changed the time of our weekly meetings to 1:30pm. Meetings will still be held in room B48, with the exception of next week! We will be meeting in room E121. Remember, weekly meetings are for all members, even perspective members! Please join us, if you can! The more, the merrier. If you are unable to attend, keep up with the minutes and, hopefully, we will see you at future events!
